Job Description

Job Summary:
We are a growing manufacturing company seeking a highly organized and proactive Personal Assistant (PA) to support our executive team. This role requires fluent communication skills in both English and Mandarin to facilitate day-to-day coordination with local teams and overseas partners. The ideal candidate will be detail-oriented, resourceful, and capable of managing both administrative and personal tasks with professionalism. Key Responsibilities:
  • Manage schedules, meetings, and travel arrangements for executives
  • Translate documents, emails, and communications between English and Mandarin
  • Draft, format and proofread reports, memos, and presentations
  • Act as liaison between executive and internal/external stakeholders, including Chinese-speaking suppliers
  • Prepare reports, presentations, and summaries
  • Organize and maintain filing systems (digital and physical)
  • Handle confidential and sensitive information with discretion
  • Assist with procurement tracking, order coordination, and production scheduling support
  • Support executive in both business and occasional personal tasks
  • Screen and prioritize emails, calls, and correspondence
  • Communicate with overseas partners, factories, or suppliers on behalf of the executive
  • Track deadlines and deliverables for ongoing projects
  • Help onboard new clients, partners, or internal staff as required
Requirements & Qualifications:
  • Bachelor’s degree or equivalent experience
  • 3+ years of experience in a similar role, preferably in a manufacturing or industrial setting
  • Fluent in both English and Mandarin (spoken and written)
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace
  • Excellent communication, organizational, and multitasking skills
  • Ability to work independently in a fast-paced environment
  • Knowledge of Chinese business culture and communication norms is a plus
